The manager reconciling four booking sources by hand, again.
AI agents that streamline operations and eliminate repetitive work
Booking management, document processing, invoicing and data reconciliation are the tasks that quietly consume a day a week and appear on no job description. Automate them and the same team runs more without working longer.

The admin is not free. You are just not invoicing for it.
Phone, email, the platform and the counter. Nothing tells the others what it promised, so somebody checks all four every day, and still apologises occasionally for a slot that was sold twice.
What we actually build for AI process automation
Specific jobs, not capabilities. If one of these is a fight you have had this month, it is the one to start with.
One booking queue
Phone, web, email and walk-in bookings resolved against a single calendar, so no two sources can promise the same slot.
Double-booking prevention
Writes are queued rather than raced, which makes a clash structurally impossible instead of merely unlikely.
Invoice and document capture
Delivery notes and invoices read, matched against the order, and filed for the accountant without anyone typing them.
Daily operations summary
What is booked, what changed overnight, and what is still open, in the manager's inbox before the day starts.
Data reconciliation
Two sources compared line by line, bank against ledger or CRM against invoicing, with only the mismatches surfaced.
Compliance and renewal tracking
Licences, certifications and permits tracked by expiry, with enough warning to renew calmly.
Review and reputation management
Reviews answered as they land, and anything low-starred put in front of the owner the same day rather than a fortnight later.
Guest and customer profiles
Visit history and preferences held in one place, so a returning customer is not treated like a first-time one.
Miners Arms
Two venues, one manager, and a booking system charging £500 a month that still let tables double-book.
annual cost removed
Read the full build"We cut our software bill by £500 a month and stopped paying for reception cover on top of that. It now takes every booking, answers our reviews and runs our social, and that is work we were either paying for or simply not doing."
What changes
- Automated booking and scheduling with real-time double-booking prevention
- Invoices, delivery notes and forms read and filed without anyone typing them
- Two systems reconciled automatically, with only genuine mismatches surfaced
- Daily and scheduled reporting assembled automatically, ready to send rather than ready to build
- Compliance, contract and renewal dates tracked with enough warning to act calmly
Who it is for
- Venues and appointment-based businesses
- One booking queue resolves phone, web and walk-in requests against a single calendar, so no two sources can promise the same slot.
- Any business drowning in back-office admin
- Invoice capture, data reconciliation and scheduled reporting take the day-a-week tasks off a manager's desk without anyone new joining the payroll.
- Multi-location or multi-account businesses
- Data reconciliation and compliance tracking run the same way across every site or account, so oversight does not scale with headcount.
What teams building this ask
The questions that come up for this domain and nowhere else.
What happens if the system goes down mid-shift?
The calendar and order systems stay the source of truth and remain readable and editable by hand, so a business can always operate the way it always has. Automations run on Trigger.dev, which retries failed work and reports what it could not complete rather than dropping it silently. Nothing disappears, it queues.
Do we have to replace our existing booking or ledger system?
No. Most builds sit on top of what a business already runs. Our Birmingham pub group build did retire a £500-a-month booking platform, but only because everything they used it for had been rebuilt; that was the outcome of the project, not a requirement to start it.
How does reconciliation avoid flagging things that do not actually need a look?
Only genuine mismatches surface; two records that already agree are never shown to anyone. That is the difference between a tool a manager checks once and one they stop opening after a week of false alarms.

Your records stay in your own systems: your calendar, your CRM, your database. AI processes what passes through and retains nothing between requests, and everything runs on commercial API contracts where your data is never used to train public models.
