The cost of doing nothing

The admin is not free. You are just not invoicing for it.

Phone, email, the platform and the bar. Nothing tells the others what it promised, so somebody checks all four every day — and still rings a guest occasionally to apologise for a table that was sold twice.

What we actually build for hospitality & restaurants

Specific jobs, not capabilities. If one of these is a fight you have had this month, it is the one to start with.

  1. One booking queue

Phone, web, email and walk-in bookings resolved against a single calendar, so no two sources can promise the same table.

  2. Double-booking prevention

Table writes are queued rather than raced, which makes a clash structurally impossible instead of merely unlikely.

  3. Confirmations and reminders

Sent on a schedule in the guest's language, with a one-tap cancel that returns the table to availability immediately.

  4. Multilingual guest replies

Opening hours, dietary questions, parking, set menus and events answered instantly, whatever language the guest asks in.

  5. Daily covers summary

What is booked, what changed overnight, and what is still open tonight — in the manager's inbox before service.

  6. Supplier invoice capture

Delivery notes and invoices read, matched against the order, and filed for the accountant without anyone typing them.

What hospitality & restaurants operators ask

The questions that come up in this sector and nowhere else.

What happens to bookings if the system goes down mid-service?

The calendar is the source of truth and it stays readable and editable by hand, so a venue can always take a booking the way it always has. Automations run on Trigger.dev, which retries failed work and reports what it could not complete rather than dropping it silently — nothing disappears, it queues.

Do we have to replace our booking or EPOS system?

No. Most builds sit on top of what a venue already runs. Our Birmingham pub group did retire a £500-a-month booking platform, but only because everything they used it for had been rebuilt — that was the outcome of the project, not a requirement to start it.

Will guests know they are talking to a machine?

They are told, because pretending otherwise costs more trust than it buys. What guests notice is the reply arriving in seconds at 11pm rather than the next morning, and anything the system cannot answer goes to a person with the conversation attached.

Your records stay in your own systems — your calendar, your CRM, your database. AI processes what passes through and retains nothing between requests, and everything runs on commercial API contracts where your data is never used to train public models.
